Olive oil buying brief for cafes, caterers and foodservice teams

A foodservice enquiry works better when it describes the menu and purchasing pattern instead of asking only for the cheapest case. Use a consistent brief to compare suppliers, formats and substitutions. The aim is a repeatable purchasing decision that staff understand and the kitchen can use.

Document consumption by application

Estimate usage for cooking, dressings, marinades and table service separately. Use invoices or a stock record when available. If the business is new, label quantities as planning estimates. A forecast can be useful without presenting it as an established purchasing history or guaranteed ongoing demand.

Identify dishes that depend strongly on the oil’s flavor and those that use it among several ingredients. Decide whether one product is sufficient or distinct applications justify separate purchases. Record who approves changes so substitutions do not silently alter the menu or create inconsistent service between shifts.

Ask for comparable product information

Request the product name, grade, origin, package size, case count and current delivered quote. Note minimum orders, freight charges, recurring commitments and geographic limits. These commercial details require confirmation for your order; a public consumer price is not necessarily a wholesale or foodservice offer.

Ask for available lot identification, specifications and certification your operation requires. Treat certificates as evidence only for the product and scope covered. A brand story cannot replace the information needed to receive and reorder the correct product. Clarify how the supplier communicates substitutions or changes in availability.

Plan receiving and open-container use

Consider where staff store the container and how they dispense the oil during service. An economical package may be awkward to handle or difficult to rotate in a small kitchen. Assign a receiving check covering the ordered product, container condition and actual delivered quantity.

If samples are available, evaluate them in the dishes you intend to serve and record the result. Plain tasting and cooked applications answer different questions. This is a suggested procurement process, not a claim that OliveRite has tested a supplier’s products or certified their suitability for your operation.

Separate the quote from the commitment

Compare delivered cost, expected usage, handling and reorder conditions together. Identify differences that matter to your menu rather than awarding a purchase solely on a premium label or lowest unit price. Ask which terms change when an order becomes recurring and who handles discrepancies.

Send OliveRite your business type, applications, quantity estimate and destination through the existing form. Ask for missing details before accepting a purchase. Stock, trade pricing, payment terms and fulfillment depend on the seller and quotation; an enquiry is not an accepted wholesale order or continuing supply commitment.
